Notes

Gunner’s main concern is venue. We will need to fundraise for the venue. Estimated cost is around $18k (include food). We need venue suggestions.

[Alyssa] Hosted conference in Brussels (State of the Map 2016). Venue had large basement floor with a couple of presentation spaces. Accommodated around 400 people. This venue might not be available b/c it’s being used for FOSDEM.

[Pia] Requirements:

  • Seat 100 people in one circle.
  • 5 breakout rooms.

[Megan] Knowing costs for Google last year, I wonder if hotel venue makes sense.

[Pia] We did this last year and it worked well. Budget was around $18k. Hotels are possibility.

[Megan] Has contact in Brussels and will ping him.

[Pia] Budget is currently at $20k (remaining). Ben will talk with GitHub and has approval already from Ford Foundation ($10k) for travel.

[Pia] Go over action items from last meeting.

  • Pia will send save the date to email list (done)
  • Justin will provide website boilerplate
    • Knows a guy on Twitter. Will reach out. Wants to stick with Jekyll. We can also use StateOfTheMap template as well.
  • Pia to do: GitHub issue for criteria for attendance / Email thread for building invite criteria
    • Focus on projects or concrete sustainability issues. Workshop style. Work still to be done. Need Gunner to participate in this convo. Will follow up next week.
  • Look for community evangelist
    • Speak with Georg.
  • Ben will follow up with friends around GitHub|Google involvement (done)

Megan will do research / survey. What is the right delivery mechanism for this survey? If Google puts it out, it may look like a Google survey. Possibly house it inside of the website? Then we ask those who take it to push it into the linux foundation, etc. Will know more by next call.

[Megan] Make the survey a requirement for project eligibility.

[Pia] Sustain community event. So far we only have 2. Love to find more events to happen during February if possible. If we are talking with anyone interested in Sustain, we can support them. The goal is to make this a decentralized event.
