Life of a Piece

Here's the life flow of a Piece, from start to finish.

  1. Entered into system, but not in show

  • Piece Status: Not In Show
  • Piece Location Field: Blank
  • Piece's actual location: In hands of artist.
  • Bids: Not Valid
  • Sales: Not Valid

The piece details are entered into the database, but has not yet been recorded as appearing at the show. This allows artists and the admins to record piece details ahead of time, but without any requirement to delete it if it does not appear at the show.

  1. In Show

  • Piece Status: In Show
  • Piece Location Field: Valid or Blank
  • Piece's actual location: In the show, at the given location or momentarily transported to the voice auction.
  • Bids: Valid
  • Sales: Not Valid

The piece is now registered as being in the show. The "Location" field on a Piece can be used to record it's usual location, such as labelling panels and other spaces individually. Using locations is highly recommended for more than 50 pieces; as many entry forms can be sorted by location, this makes data entry easier.

A show that permits after-bidding-close sales, and a piece declared with such a price, would allow such pieces to be Sold. Artshow Jockey currently does not implement these features, but could do so on request.

  1. Won

  • Piece Status: Won
  • Piece Location Field: Valid or Blank
  • Piece's actual location: In the show, at the given location or ready-for-sale area.
  • Bids: No New Bids
  • Sales: Valid

The piece has been marked as "won" and the winning bidder and bid amount declared. No new bids are valid on this piece. The piece can now be bought by the winning bidder, which attaches the piece to an Invoice through an InvoiceItem object

  1. Sold

  • Piece Status: Sold
  • Piece's actual location: In hands of buyer.
  • Bids: No New Bids
  • Sales: Not Valid

The piece has been sold and collected (or in the process of collection) by the bidder. This status is entered when a Invoice is created and the piece attached to it. It is possible that the invoice is created but has not been paid for at this time, but will still be marked as "Sold". Note that "Sold" is essentially redundant, since a piece attached to an Invoice is considered Sold.

  1. Returned

  • Piece Status: Returned
  • Piece's actual location: In hands of artist.
  • Bids: None
  • Sales: None

The artist has collected the unsold piece. Theoretically, there should be no bids, and no sales, on this item for the Returned status to be valid.
