DevopsDays is a technical conference, aimed at developers, sysadmins and anyone else involved in technology, wether expert or beginner.

Truth is that agile techniques used in development have an impact on the way operations organizes its work. Similar, operations and sysadmins are becoming programmers because of the virtualization and automation trend where everything is managed through an API.

> Some call this phenomenon **devops**, others **agile system administration**.
## Format
Due to each event being organised by a local team, the format between events may differ, though after so many DevopsDays, it's structure has stabilised and is fairly consistent.

Over the span of two days you can expect 3 presentations each morning, ignite talks just before lunch and openspace in the afternoon, as well as a social event on the first evening.

The content covers a broad range of topics like methodologies, tools and services, common practices for development and operations, as well as success stories.

### Presentations
Anyone can submit a presentation during the call for papers (which usually lasts until a month before the event), with the submissions being made public on the DevopsDays website. The DevopsDays team chooses 6 presentations from these submissions, based on a number of criteria but also with feedback received via the website.

### Ignites
The ignite talks are a burst of knowledge, lasting for 15 minutes, with slides automatically changing every 15 seconds, and focusing on a specific topic, giving you a quick overview and letting you dig deeper by yourself if interested.

Again, ignite talks are submitted in the same manner as the presentations.

### Openspace
The openspace format is a very successful and simple one. An hour before the openspace starts, topics are suggested by all attendees, and also each member votes on what topic they'd like to chat about from the ones suggested.

There are 3 open space slots each day, running for 30 minutes, and for each slot, four topics are picked from the ones most voted, and a room (or a circle of chairs) is assigned to each topic. Everyone is welcome to go to whichever they are interested in.

<h2>Introduction</h2>

<p>Below is a small summary of an open space that took place at Devopsdays Ghent (October, 2014). The goal of the open space was to find ways on how Devopsdays organizers and attendees can contribute to NGOs or other good causes.</p>

<p>Two prior Devopsdays events donated some of the profits to charity. Devopsdays NY 2014 donated to the drilling of a well in Cambodia. Devopsdays Belgium 2014 donated to Manbarnootaaf VZW.</p>

<p>Both initiatives came from persons who were on the organizing committee. As there are many Devopsdays it maybe isn't clear that profits can be donated. Or that some other activity can be organized. It could also be that organizers think too late of the possibility of
donating. This document tries to give them a head start.</p>

<h2>Rationale</h2>

<p>Many western countries have been hit hard by a global recession for the past few years. While many in our countries and others have struggled, the tech sector has been experiencing a rapid boom with many jobs available which has fueled a surge in salaries, benefits, etc. This has led to increased spending on recruiting, marketing, etc. in order to attracted the best talent and investment.</p>

<p>The idea of giving back through DevOpsDays and other conferences is fueled by the recognition that we can use our very privileged status to help those in need. The implications have the potential to be felt globally and a rising tide lifts all boats so everyone stands to benefit.</p>

<p>We hope that if conferences can adopt some of the principles below, it will not only help the targets of that help, but also raise awareness within our own community of the plight of others, the impact we can have, and increase our diversity and understanding of the benefits of diversity which will help everyone.</p>

<h2>Methods</h2>

<p>There are several ways for organizers and attendees to give back. What follows is a list of possible ways of doing that.</p>

<p>But don’t limit yourselves --- as a Devopsdays organizer --- to the list below. Other ways of contributing are suitable too. It’s not bad to ask yourself the question how you can maximise number of people who benefit of the conference. Inside and outside our communities.</p>

<h3>Direct attendee commitment</h3>

<ul>
<li>Instead of giving each attendee a conference t-shirt, use that money for a donation. An alternative could be to let attendees choose: take the t-shirt, or allow that money to be donated - this decision would need to be made before the t-shirts were produced, of course.</li>
<li>Provide a 'charity table'. A local charity can then install themselves in the sponsor area and try to raise money/recruit volunteers that way.</li>
<li>Let attendees bring canned foods which can be donated to the local food bank. An alternative could be clothes which can be donated too.</li>
<li>Some charities need manual work. Putting things in bags or boxes (e.g. rice, pasta). Provide a space during open spaces for attendees to help with that.</li>
</ul>

<h3>Indirect attendee commitment</h3>

<p><em>By leveraging the attendee or sponsor fees time or space can be used to engage the attendees.</em></p>

<ul>
<li>Let a charity give a short pitch so their work is visible.</li>
<li>Reach out to the local community and sponsor a person from a community underrepresented in tech to attend the conference.</li>
<li>Provide scholarships for local or foreign students, NGOs, non-profits, etc.</li>
<li>Give some tickets to students and teachers.</li>
<li>Use some of profits for a good cause.</li>
<li>Install a donation box.</li>
</ul>

The only rule is don't give a straight sales pitch. That's not even a rule we'll enforce, everyone will just think you are uncool... that is punishment enough.

<div><em>Open space is the simplest meeting format that could possibly work.</em>
<em> </em></div>
<em> It is based on (un)common sense of what people do naturally in productive meetings.</em>

Principles (from <a href="http://en.wikipedia.org/wiki/Open_Space_Technology">Wikipedia on Open_Space_Technology</a>):
<blockquote>While the mechanics of Open Space provide a simple means to self-organize, it is the underlying principles that make it effective both for meetings and as a guidepost for individual and collective effectiveness.

The Law of Two Feet — a foot of passion and a foot of responsibility — expresses the core idea of taking responsibility for what you love. In practical terms, the law says that if you’re neither contributing nor getting value where you are, use your two feet (or available form of mobility) and go somewhere where you can. It is also a reminder to stand up for your passion.

From the law flow four principles:

<li>Whoever comes is the right people</li>
<li>Whatever happens is the only thing that could have</li>
<li>Whenever it starts is the right time</li>
<li>When it’s over, it’s over</li>
</ul>

<strong>Open Space Mechanics</strong>

Since the meeting is supposed to be self-organizing, the conveners put their energy <em>not in running the meeting</em> but creating a setting that gets everyone’s creative energy flowing.

<strong>Opening</strong>:
<ol>
<li>Show the timeline, how the event breaks down into Opening, Marketplace of ideas, Break-out sessions, Closing.</li>
<li>Sponsor introduces the theme. Briefly. One or two minutes max. Long openings drain the energy of the meeting quickly. Get participants to work ASAP.</li>
<li>Facilitators introduce the principles and the format. Explain how the marketplace of ideas works.</li>
</ol>
<strong>Marketplace of ideas</strong>:
<ol>
<li>Participants write ‘issues’ on pieces of paper. Preferably with bold markers, so they are easy to read from a distance.</li>
<li>Participants choose a timeslot for their topic on the agenda wall.</li>
<li>One by one, participants explain their issue to the others, with the aim of drawing the right people to their break-out-session.</li>
</ol>
<strong>Break-out sessions</strong>:
Once people do not come up with new issues (wait a little bit, and ask ‘are we done?’. I find the silence that often happens at the beginning and end of the marketplace the scariest. However, this silence seems to be very productive.

You may ask people to put their name on sessions they want to attend. More than one session per slot is OK… (law of two feet <img src="/img/icon_smile.gif" alt=":)" /> ). This gives conveners an idea of how busy their session is going to be. It gives participants an image of how the break-out session is going.

People may shuffle sessions around, or merge sessions as they are deciding where to go. Have a wiki where people can record outcomes of sessions, or provide paper forms for note-taking during sessions (recording who attended, a summary of the session and outcomes/questions for further work) that you can collect into a ‘book of proceedings’.

The facilitators’ role in this bit of the conference is to answer questions, and make sure everyone has the materials they need to run their break-out session. They do not (in principle) intervene in the sessions - the participants are supposed to self-organize.

<strong>Closing:</strong>
Have everyone back in the circle. A simple and effective way to close is to have the participants pass a ‘talking stick’ around, and let them (briefly, e.g. in a sentence or a word) say what they feel about the day.

<strong>Bumblebees and butterflies</strong>:
<strong>Bumblebees </strong>internalize the law of two feet quickly, and constantly flit from meeting to meeting, pollinating, cross-fertilizing, and adding richness and variety.

<strong>Butterflies </strong>may never get into any meeting. They are focal points of quiet and beauty. If you watch them, every once in a while you'll see them engage in conversation. Those conversations often are significant.
